A Legal 500 large law firm are currently looking to recruit an experienced costs manager in their Sheffield office. With sites across the UK and particular interest in Litigation, this practice is one to watch in 2021. There are massive plans for continued expansion and always looking to promote and offer long term career progression.

Description To manage a Costs team currently comprising 4 staff, ensuring all SLA's are met to include managing external costs drafting firms and professional suppliers (principally medical agency and counsel) whilst managing their own costs case holding.

Working with, managing, and supporting the team to ensure individual and team key targets and objectives are met, and ensuring compliance with SLAs and KPIs. The job holder will also be responsible for managing risk and compliance within the team.

Working with colleagues to develop a strong team ethic and deliver exceptional client service.

To provide evidential, practical, innovative and technical assistance to the PI Department and the costs team, including delivery of appropriate training and mentoring as required.


SCOPE OF THE ROLE
The jobholder will be responsible and accountable for managing and delivering on the maximisation, recovery and distribution of all costs, disbursements and client compensation from, in the main, third party insurers on the settlement of cases (principally personal injury and settlement agreements) in line with best practice.

In addition, the job holder will be responsible for liaising with professional suppliers, mainly the primary medical agency, to ensure accurate processing and negotiation of disbursements and management of any write off facilities.

The jobholder will ensure the costs team deliver excellent levels of client service throughout the progression of their cases and will ensure all members are kept regularly updated, in line with department service level agreements.

They will be responsible and accountable for ensuring the costs team meet prescribed SLAs and targets.

The jobholder will be responsible for the ensuring the appropriate vetting and allocation of work within the costs team, and will be responsible for ensuring correct housekeeping of finalised cases including file closures.

The jobholder will ensure the team follow correct business processes and ensure costs, settlement and write off data held with the case management system is accurate and up to date.

They will also be responsible and accountable for ensuring that they personally meet prescribed SLAs and individual targets on their own cases.

KEY TASKS

TEAM management

    To monitor, guide, mentor and be accountable for performance of the team including appropriate team development. To provide support, guidance and technical assistance to individuals in the team. To be responsible for the allocation of new cases within the team. Assist in recruitment including managing headcount within prescribed budgets To resource plan to ensure cover at all times within the team. Participate in the departments performance management framework, including conducting appraisals, 121s, and 'Welcome Back' interviews Work within a framework of objectives and target setting Attend and participate in all management team meetings as required To ensure the Senior management are provided with required daily, weekly and monthly reports Undertake non-chargeable work, including practice development for the benefit of the firm, which may be outside of office hours To effectively utilise and promote the use of the Case Management IT system. To be responsible for the updating of Cost Team data on the business Intranet Site. To effectively utilise and promote Department Best Practice. To work within the cross department management team to constantly review team, department, and business processes and procedures to maximise efficiencies and effectiveness. To audit files and ensure that costs, client damages and outlays have been distributed correctly before file closure. To liaise with the Enforcement Team Manager to ensure the effective transfer of cases from the costs team for enforcement action to be taken. To effectively utilise, promote, and to ensure Department wide processes and procedures are followed within the team. To effectively use Management Information to monitor performance and caseloads. Undertake or deliver appropriate training as required Identify, resolve and escalate risks to Senior Management as appropriate.
