Leading US Law firm in Hong Kong is urgently looking to appoint an Administrative Assistant reporting to their Director of Administration.

This role handles a wide range of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to the Director of Administration, assisting in daily office needs and managing our company's general administrative activities.

DUTIES AND RESPONSIBILITIES

  • Provide general administration support for the office, including clerical and liaison works with various internal and external parties to facilitate smooth operation of the office.
  • Records Management and offsite storage related matters.
  • Assist in office space planning, renovation and relocation projects.
  • Assist in vendor management - negotiation and contract reviews.
  • Assist in company assets management, including stock take and reporting.
  • Assist in the implementation and update of office policies and procedures.
  • Assist in budget preparation and monitoring of office operation
  • Weekly reports follow up.
  • Handle petty cash for administrative expenditures.
  • Assist in on-boarding and off-boarding process and related administration work.
  • Assist in company subscriptions and library updates where necessary.
  • Standby receptionist
  • Assist in adhoc tasks and projects as necessary.

REQUIREMENTS

  • Diploma in Business Administration or equivalent
  • 1 -year experience in secretarial or admin support
  • Excellent written and verbal communication skills in English, Chinese and fluent Putonghua
  • Knowledge of office management systems and procedures
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Strong organizational skills with the ability to multi-task
