About Eversheds
The Eversheds client support team are responsible for our UK and international offices to provide workplaces that are comfortable, clean, safe and secure. As well as supporting both internal and external clients on a day to day level our responsibilities include: Client Services, Property acquisition, disposal and Space utilisation, Support Services, Administration and Contract Management, Maintenance of our buildings, environmentally friendly working practices, Health and Safety, Property strategy, Business Continuity and a lot more.
This role has arisen to support the team during a busy period of change, as such the successful applicant will deliver the highest standards of client service in this very client focused environment and give the team flexibility in its working shift pattern.
Key responsibilities:
The facilities support team are the first port of call for the meeting and greeting of clients and internal customers. The environment is friendly but professional and very team orientated.
Main responsibilities will range from managing reception, hospitality - providing excellent client and internal customer care.
Skills and experience:
· The operation of the integrated resources system that controls room bookings, car parking, car bookings, visitor badges, catering requirements and general meeting room set up.
· The provision and control of security access passes in conjunction with the external security provider.
· Meeting and greeting clients to ensure their needs are exceeded in a timely and professional manner.
· Answer telephones in a professional manner and direct callers.
· Ensuring the reception area, meeting rooms and the whole of the client hospitality suite areas are maintained to the highest standards at all times.
· Liaise with our external caterers to ensure refreshments are provided when and where necessary and to the highest standard.
· Serving coffee or tea to the guests.
· Ensure a high standard of Corporate dress and personal appearance is maintained at all times.
· Supporting the Admin Assistant to control and monitor all stationery supplies inclusive of purchasing, storage and delivery. Process the supplier invoices.
· Setting out of meeting rooms as per the booking information, to ensure the layout and functionality of the AV equipment is as requested.
· Checking of all client meeting rooms on a regular basis to ensure they are maintained to a high standard.
· Support the facilities team to ensure it delivers professional support services appropriate to meet the business requirements.
· Collecting and routing mail and hand delivered packages.
· Ensuring high levels of customer care to both internal customers and external clients and visitors.
· Handle weekly capacity emails.
· Arranging birthday celebrations and internal event management.
· Scanning, photocopying, faxing, filing and archiving documents.
The jobholder may from time to time be required to carry out administrative duties and other facilities tasks that are required.

Due to the nature of the role, offering services to all areas of the office the post holder will come into contact with each team and department within the building, with strong links to the office managers, legal managers and business services managers.
Key competencies:
· Well-presented and professional manner
· High level of interpersonal communication skills
· PC literate with good working knowledge of MS Office applications
· Ability to work independently in a high pressure environment
· Ability to work in a team environment with a high degree of initiative and self-confidence.
· A working knowledge within a reception environment including an awareness of Health & Safety knowledge would be advantageous.
